Three weeks after the annual meeting, someone pulls up the booth photo in staff meeting. The director asks what came out of it. You scroll through your notes: a dozen names, three promising conversations, zero entries in a shared tracker. The expense report cleared faster than any contact got logged.

That pattern shows up across the AUTM corpus. Cheeky Scientist Radio guests who moved into tech transfer describe AUTM's yearly and regional conferences as places where graduate students and postdocs network heavily and initiate relationships with tech transfer professionals. Real value. Not, by itself, a tracked funnel.

The harder question is whether any contact from any channel lands in a shared system with a stage, an owner, and a next-action date before the week ends.

Technology transfer offices invest heavily in visible outreach. At the University of Minnesota, the Office for Technology Commercialization runs startup workshops for faculty and technology showcases for the community. Rob Cohen, president and CEO of Neuromatrix Medical, a company spun out through that office, put the stakes plainly: "a wonderful technology is completely useless if it doesn't get commercialized." Showcases create visibility. They do not automatically create conversion.

The goal is to demystify entrepreneurship for faculty who find the ecosystem confusing. Not the same as a stage-gated pipeline where every external conversation has a logged next step.

When leadership sees event photos and workshop attendance trending up, the story looks like progress. Activity metrics and pipeline metrics are different currencies.

Openness helps. Pipeline requires what happens after.

In an OUP webinar, the team walked through their 2019 funnel: about 7,000 private companies actively tracked; roughly 2,000 interactions; about 230 in diligence; 11 new investments plus 39 follow-ons. For a fund their size, that is more deals than a typical venture fund, usually 11 to 15 new investments per year, which underscores how selective the bottom remains.

They also report making about 200 introductions a year between university startups and venture firms, which usually results in about four successful financings a year. Two hundred introductions. Four financings. Roughly 2% conversion. That is a humble number, and an honest one. It has a denominator.

PI outreach shows up too, who they talked to and the status, so the TTO can see activity that might otherwise sit in parallel silos. The tallest bar in their diligence-source chart comes from tech transfer.

Over half the companies in OUP's tracking database have been known for more than three years; 16% they had only just met that year. Pipeline discipline is longitudinal. A single conference handshake is one data point in a multi-year curve.

Research commercialisation practitioners distinguish between events that create awareness and processes that reduce risk for investors. A stage-gated pathway lets investors commit capital in manageable chunks as value rises and technical risk falls. One practitioner framed the economics bluntly: for every dollar spent in research, expect roughly ten dollars in development and a hundred dollars to reach the market. Each stage is more expensive than the last.

AUTM 2025 takeaways surfaced an uncomfortable hallway theme: offices under pressure to hit license-count targets by fiscal year-end can make licensing decisions driven by the metric rather than the deal. One practitioner voiced skepticism many directors will recognise, that teams can end up optimising for the metric instead of the outcome they actually want. Their counter-practice: start weekly staff meetings with vision-level goals before diving into numbers.

Event ROI suffers the same distortion. If the success measure is how many people you met, you optimise for meetings. If it is how many introductions converted to diligence, you optimise differently. The number may be smaller. It is also more honest.

Networks built at conferences are inputs. Relationships maintained across quarters, with reporting that proves what happened to each contact, are the infrastructure.

When leadership asks what came out of the conference, "we met interesting people" is an activity answer. How many of those people are in a shared tracker with a next-action date today? If you cannot answer that without opening a personal inbox, the conference worked as outreach. Whether it worked as pipeline is still an open question.
